Gather your team and raise awareness<\/h3>\n

Before undertaking the information gathering for the processes, it's important that you gather your team and explain what will be done. Talk about the advantages of process mapping and how it can improve their own performance, and ask for their help.<\/p>\n

What for process mapping<\/strong> To be effective, there are no people more recommended to make this diagnosis than those who perform the tasks. Therefore, involve your team in this project, regardless of whether you are conducting it alone or with the help of a consultancy.<\/p>\n

Identify current processes<\/h3>\n

Start process mapping by surveying how each activity is currently performed. It doesn't matter if it's right or wrong, or if it should be done differently. The important thing is to know how people conduct processes and what kind of results they bring. You will certainly find agile and efficient processes, as well as slow and bureaucratic ones. The intention is precisely that: to understand how your company is functioning and where you can make changes.<\/p>\n

Determine the inputs for each process<\/h3>\n

Organizational processes frequently involve more than one department. For example, hiring a new employee involves the department requesting the hire, people management, finance, and accounting. In other words, it's an extensive process with many decision-makers involved. By determining the inputs of each process, you can follow the flow, that is, the sequence of activities that are triggered until the process concludes.<\/p>\n

Determine the outputs of the processes<\/h3>\n

Outputs, also known as the final product, are also important in process mapping so that you know where each one ends. In our previous example, the output of the hiring process would be a new employee. However, for everything to run smoothly during the process, it is essential that each part understands its responsibilities and acts according to certain procedures and work instructions, aiming to standardize the process and make it easier for everyone to learn.<\/p>\n

Identify areas for improvement<\/h3>\n

When mapping the company's processes, you and your team can already start to identify failures, errors, and competency gaps that occur in each phase. This makes it easy to start thinking about the improvements that will come after consolidating the information.<\/p>\n

Remember that dictating a new process model without your team's involvement in its creation can undermine all your efforts. Only those involved daily with the tasks know what the real difficulties are.<\/p>\n

Create an action plan<\/h3>\n

For each mapped process, gather the stakeholders to discuss the best ways to conduct it. Sessions of brainstorming<\/strong> They are very good for brainstorming ideas and solutions. Ask one person to be responsible for recording the group's decisions and outlining the process flow at the end of the discussion, as well as an action plan for its implementation.<\/p>\n
